The quote workflow
Your business rules shape every quote.
RivetRate helps an owner set the business’s pricing and quote details once. Invited staff can then prepare a draft from job information, review it with a person, and share the published quote with a customer.
01 · Owner setup
Set your business rules once.
The setup is intended to take under 10 minutes. The owner chooses the business values RivetRate uses; RivetRate does not choose your rates or tax treatment.
Business choices saved for quote drafts
- Business name and logo.
- Standard, after-hours and apprentice labour rates.
- Call-out fee and minimum charge.
- A parts markup percentage, with optional category overrides.
- Optional contingency as a percentage or fixed amount, plus the owner’s wording for when a variation applies and how it will be priced.
- Default terms (including any payment details you choose to include), quote-number prefix and next number, and validity period.
- The business’s currency, tax label and local units.
02 · Team draft
Turn job details into a reviewable draft.
The owner invites staff to the business. Staff add customer details and job information by photo, voice note or typed notes. RivetRate proposes an editable draft using the saved business rules.
Voice notes
Typed notes
The draft separates the work and its pricing.
- Itemised parts
- Labour hours shown separately
- Call-out
- Contingency, when configured
- The business’s tax label and saved rate
- Total
03 · Parts list and uncertainty
Use a saved parts list; resolve what is missing.
An owner can upload a CSV or spreadsheet parts list with these fields:
- Item name
- Supplier code
- Cost price
- Unit
- When RivetRate identifies a listed part, it can match the saved item and apply the business’s saved markup, including a category override when one is configured.
- A part without a catalog price is flagged “needs price” for the team to resolve.
- An unclear part or scope is flagged for resolution instead of being silently guessed.
04 · Customer response
Share a reviewed quote the customer can open.
After a person reviews and publishes the quote, the business can email its branded quote with a shareable link. The quote uses the business’s configured number, validity and terms, including any payment details the business chose to add.
Customers can open the published quote without creating an account and view or download its PDF.
From the quote page, customers can accept or decline online, ask a question, or request a revision.
The business can track quote status.
